Our client who is into the financial sector, is on the lookout for a dynamic and organized Secretary to be the first point of contact for our organization. In this role, you will play a vital part in ensuring efficient office operations and providing excellent customer service to our clients, visitors, and staff.
*Key Responsibilities:*
- Welcome and assist visitors, clients, and employees with a warm and professional demeanor as they arrive at the front desk.
Manage incoming calls, emails, and inquiries, directing them to the appropriate personnel or providing necessary information.
- Maintain a tidy and organized front desk area, ensuring a positive and welcoming first impression.
- Handle administrative tasks, such as scheduling appointments, managing calendars, and coordinating meetings and events.
- Prepare and distribute internal and external correspondence, including memos, letters, and emails.
- Maintain office records, documents, and filing systems, ensuring confidentiality and easy retrieval.
- Assist with office supply inventory, orders, and keeping track of stock levels.
- Support various departments with administrative tasks, including data entry and report preparation.
- Maintain and update contact lists, employee directories, and visitor logs.
